  1. General information – our contact details

In this Privacy Policy, Signal states its practices regarding data protection, cookies and information that it collects from you or through your use of the Services and/or Products, and how that information may be used and with whom it may be shared (all together the “Privacy Policy”). 

Users’ privacy is Signal’s top priority. Signal may use Personal Information and/or Cookies, as defined below, for the purpose of making the Services and/or Products available to you in accordance with the Agreement. 

The data controller of Personal Information is the company providing the Service under the Agreement, as specified in the Order. This may be Signal Ocean Ltd or Signal Ocean Dry Cargo Ltd, both private limited companies incorporated under the laws of England and Wales, with registered offices at 83 Cambridge Street, Pimlico, SW1V 4PS, London, England, or any other affiliated entity designated in the Order (hereinafter ‘’Signal’’).

This Privacy Policy applies to Signal, meaning the company providing the Service under the Agreement, as specified in your Order. 

The Privacy Policy may be revised from time to time. Signal will notify you of any revisions by posting the updated version of the Privacy Policy here www.thesignalgroup.com/privacy-policy

Revised terms become effective on the first date that you access or use any of the Products and/or Services after the updated Privacy Policy has been posted. 

Signal advises you to periodically check the Privacy Policy for any such modifications or revisions. 

In the case of any material changes to the Privacy Policy, we will also notify you via e-mail at the email address you have provided upon registration. 

You represent that you have read and understood the Privacy Policy.

The Products and/or Services may include links to third-party websites or be connected applications whose privacy policies may differ from ours. Any information that these third parties collect about you is governed by their respective privacy policies. We suggest that you contact those third parties directly in order to obtain information about their privacy policies.

Unless otherwise defined herein, all capitalized terms used in this Privacy Policy shall have the meaning ascribed to them in the Terms of Use and/or the applicable Order Form executed in connection with your subscription to the Service and/or Product. For the avoidance of doubt, all defined terms in the Agreement which includes the Terms, this Privacy Policy, and any related Order Form shall be interpreted consistently across these documents and shall have the same meaning wherever they appear, unless the context expressly requires otherwise.

  1. Definitions

"Personal Information" refers to any data that can identify:

  (a) You, directly or indirectly, in connection with your registration, access, or use of the Products and/or Services; or

  (b) A third party individual whose data you submit.

Use” or ‘’Process’’ refers to any operation or set of operations performed on information provided by you, such as collection, use, storage, forwarding, processing and/or disclosure in accordance with the Agreement.

  1. Personal Information you provide/that may be collected

  A) You may provide Personal Information when you:

  • Contact Signal for a demo, product information, or other inquiries.
  • Register for an account to use the Products and/or Services.
  • Sign in using Google, LinkedIn, or email authentication methods.
  • Subscribe to or interact with paid or free features of the Products and/or Services.

  (B) The Personal Information collected may include:

  • General details: Name, address, email, phone number, company/employer, job title, department, team size, payment details.
  • Google/LinkedIn Sign-In: Name, ID, username, profile picture, and email address.
  • For API and Add-In users: Corporate email, login credentials, access key, and voluntarily provided contact details.

  (C) Signal may also automatically collect certain Personal Information when you use the Products and/or Services, including:

  • Device and usage details: IP address, browser type, operating system, language, time zone, referring website, and browsing behavior, geographic location, browser type, access logs, feature usage, and session duration. 
  • API and Add-In users: Access timestamps, request details, username, access key, and data transmission metrics.

  (D) By submitting Personal Information of third parties, you warrant that all necessary permissions have been obtained, including the individual’s notification and consent where required.

  (E) Failure to provide the required Personal Information may prevent you from registering for, accessing, or using the Products and/or Services.

  1. How we use Personal Information

  (A) Signal may process Personal Information for the following purposes:

   (a) To facilitate your registration and access to the Products and/or Services; 
   (b) To provide and improve the Products and/or Services;
   (c) To deliver and maintain the Products and/or Services, including any integrated functionalities, customer support, and, where applicable, payment processing;
   (d) To communicate with you regarding the Products and/or Services and providing updates, including changes to the Agreement;
   (e) To enforce the Agreement, exercise rights and/or comply with legal obligations;
   (f) To enhance service quality, optimize user experience, and improve communication;
   (j) To conduct user satisfaction or service-related surveys;
   (h) To protect its networks, systems, and data from cybersecurity risks and manage operational risks;
   (i) To monitor performance and detect misuse;
   (j) To perform internal business operations such as data analysis, audits, fraud prevention, research, and business development;
   (k) To conduct marketing and promotional communications, unless you have opted-out.

(B) For analytical, security, and development purposes, Signal may de-identify and/or aggregate Personal Information with other data.

 (C) If you wish to opt out of marketing communications or object to Signal’s processing of your Personal Information, you may do so in writing. However, such an objection may result in the termination of your access to the Products and/or Services as per the Agreement.

  1. Type, legal basis and purpose of processing 

 (A) Signal acts as a data controller in relation to Personal Information processed under this Agreement.

 (B) Signal processes Personal Information only when there is a valid legal basis to do so, which may include:

    (a) Your consent, which may be withdrawn at any time by contacting privacy@thesignalgroup.com;
    (b) Signal’s legitimate interests, including those outlined herein;
    (c) Compliance with legal and/or contractual obligations, including this Agreement and the provision of the Services and/or Products to you;
    (d) Your sharing of Personal Information, in which case you agree and undertake to:

  • Ensure that any Personal Information shared is accurate, complete, and kept up to date;
  • Inform individuals whose Personal Information you provide to Signal that their data will be processed by Signal in accordance with this Agreement and the Privacy Policy, unless otherwise permitted by applicable law;
  • Only provide Personal Information that Signal is lawfully permitted to process;
  • Represent and warrant that you have obtained all necessary rights and permissions to submit such information;
  • Acknowledge that you may delete or anonymize Personal Information prior to submission;
  • Accept sole responsibility for any liability arising from the inclusion of Personal Information, subject to applicable data protection laws.
  1. Retention of Personal Information 

Signal may retain Personal Information for a period of up to seven (7) years from the termination of your right to use the Products and/or Services, unless a longer retention period is required or permitted by law.

  1. Your right to object

If you object to Signal’s processing of Personal Information, you may send a request to privacy@thesignalgroup.com. Requests are handled within seven (7) business days. However, such an objection will not affect the lawfulness of processing prior to that time and will result in the termination of your right to use the Products and/or Services in accordance with the Terms of Use.

  1. Sharing and transfer of Personal Information

Signal does not generally share Personal Information with third parties. However, Personal Information may be disclosed and/or shared in the following circumstances:
 (A) To Affiliates for the purposes described in the Agreement.

 (B) To third-party service providers that assist with hosting, data analysis, payment processing, business development, customer support, and technical infrastructure, provided they meet legal and security standards for data protection.

 (C) To third-party product/service providers when you purchase third-party products or services via the Products and/or Services, if applicable.

 (D) To other Users for the implementation of functionalities within the Products and/or Services, if applicable and relevant to you.

 (E) To other Users you choose to share Personal Information with through the Products and/or Services, if applicable and relevant to you.

 (F) For business transactions in the event of a merger, acquisition, asset transfer, reorganization, or bankruptcy.

 (J) For legal compliance and protection when required to comply with laws, court orders, regulatory requirements, or to investigate and defend against legal claims.

 (H) To safeguard rights, security, privacy, and integrity of Signal, its facilities, its Products and/or Services, its users, or others.

  1. International data transfers

Personal Information may be stored, processed, or transferred to Signal’s affiliates or third-party service providers in countries outside the UK and the European Economic Area (EEA), where data protection laws may differ. Signal ensures that any data transfer outside the UK or EEA will only take place in full compliance with applicable data protection legislation and with appropriate safeguards in place.

  1. How we secure and store Personal Information

Signal has implemented technical, organizational, and administrative measures to protect Personal Information from unauthorized access, unlawful use, accidental loss, or damage, ensuring compliance with applicable data protection laws. These security measures extend to Signal’s affiliates.

However, no security system is completely foolproof. While we take all reasonable precautions, Signal cannot guarantee absolute security for any information you transmit to us or store within the Products and/or Services. You acknowledge that you do so at your own risk.

To enhance security, Signal recommends that you take the following steps (as applicable):

  • Use a strong, unique password for your account.
  • Change your password periodically.
  • Immediately report any suspected security breach or unauthorized access by contacting privacy@thesignalgroup.com.
  1. Access to Personal Information

Access to Personal Information is strictly limited to authorized personnel who require it to perform their duties. Signal ensures that:

  • Employees and affiliates with access to Personal Information are fully informed of their data protection obligations.
  • Such personnel only process Personal Information under Signal’s explicit instructions and in compliance with this Privacy Policy.

  1. Your data protection rights

Under applicable data protection laws, you have the following rights regarding Personal Information:

 (A) Right to Information – You have the right to request clear, transparent, and easily understandable information about how we process Personal Information.

 (B) Right of Access – You can request a copy of your Personal Information in a structured, commonly used, and machine-readable format.

 (C) Right to Rectification – You may request corrections to inaccurate Personal Information or ask us to complete any incomplete information.

 (D) Right to Erasure (Deletion) – You may request deletion of your Personal Information in specific circumstances, particularly when it is no longer necessary for the original purpose of collection or when there is no valid reason for continued processing. However, this right is not absolute, and certain legal or legitimate grounds may require Signal to retain your Personal Information.

 (E) Right to Restriction of Processing – You can request that we limit the processing of your Personal Information in specific situations.

 (F) Right to Object – You can object to the processing of your Personal Information in certain circumstances.

 (J) Right to Data Portability – You can request that your Personal Information be transferred to another organization or directly to you, where technically feasible.

 (H) Right to Withdraw Consent – If we rely on your consent to process your Personal Information, you can withdraw it at any time by contacting privacy@thesignalgroup.com. Withdrawal will not affect the lawfulness of prior processing.

You may exercise these rights free of charge. Upon receiving a request, Signal will respond within one month from the date of submission.

You can also complain to the relevant competent Data Protection Authority if you are unhappy with how we have used Personal Information.

  1. Cookies and similar technologies (such as beacons, pixels and tags)

The term ‘’Cookies’’ refers to small data files transmitted by a web server to a user's web browser, where they are stored and subsequently returned with future requests to the server. These files enable the server to recognize the user's device and recall information related to the user’s session, configuration preferences, or browsing behavior. Cookies may be employed for purposes including, but not limited to, session authentication, functionality support, user experience personalization, analytics, and tracking of usage patterns.
 (A) Introduction

Signal uses Cookies and similar technologies to collect information about how you interact with the Products and/or Services applicable to you. Such information may be collected:

  • From your browser or device when you access or use the Products and/or Services.
  • Through cookies, beacons, pixels, and tags, which store small amounts of data on your device to recognize it upon subsequent visits. The Products and/or Services use both:
    • Session cookies, which expire when you close your browser.
    • Persistent cookies, which remain on your device and enable login authentication and other features.
  • From third-party analytics providers, to help us understand how users interact with the Products and/or Services and improve functionality.

 (B) Third-party Cookies and analytics tools

Signal uses third-party analytics and experience-monitoring tools, including:

  • Google Analytics with Google Signals: Collects anonymized site usage data, including page visits and IP addresses. You can opt out by installing the Google Analytics opt-out browser add-on. More details are available in Google’s Privacy Policy and Google Partner Sites Policy.
  • Chameleon: Provides in-app guidance and product tours to help users navigate the Services. It may collect anonymized data on user interactions, such as clicks, navigation flow, and feature engagement, to improve usability and feature adoption. For more information, see Chameleon Privacy Policy.
  • Microsoft Application Insights: A performance monitoring service that collects telemetry data about how users interact with the Services, including performance metrics, system crashes, and error logs, to help Signal detect, diagnose, and respond to technical issues.   • InsightOps (Logentries): Captures and analyzes logs and system activity to help monitor security, errors, and user actions in real time. It may collect IP addresses, user IDs, and event data strictly for operational and debugging purposes. For further information, consult InsightOps Privacy Policy.
  • Intercom: Enables real-time customer support and communication within the Services. It may collect user-provided data such as name, email address, and interaction history, along with usage and session data. More information is available at Intercom Privacy Policy.
  • FullStory: Records user sessions and behavior (e.g., clicks, scrolls, page visits) to help analyze and improve user experience. Data is anonymized and used strictly for analytics and troubleshooting. Visit FullStory Privacy Policy for more details.

 (C) Advertising and remarketing

Signal uses Google AdWords remarketing to display personalized ads based on your past interactions with the Products and/or Services. This involves placing a Cookie on your device to show relevant ads.

  • This Cookie does not identify you or give access to your device.
  • It simply informs Google that “this user visited this page,” so related ads are shown.
  • If you wish to opt out, visit the Google Ads Preferences Manager.

 (D) Types of cookies used

The Products and/or Services use the following types of Cookies:

  • Strictly necessary Cookies: Essential for navigation and secure access.
  • Authentication and functionality Cookies: Store login details and provide personalized services.

 (I) Other similar technologies 

The Products and/or Services use Google Tag Manager (GTM), a tool operated by Google that enables the management of website tags through a single interface. Tags are small code elements used for:

  • Analytics, marketing, and advertising purposes.
  • Measuring traffic and visitor behavior.
  • Evaluating the effectiveness of online advertising and social media.
  • Setting up remarketing and targeted advertising.
  • Conducting performance analysis and optimizing marketing campaigns.
  • Injecting code for third-party tools to track user behavior and improve user experience.

GTM does not collect user-specific identifiers that could be linked to an individual. Apart from standard HTTP request logs, which are deleted within 14 days, Google Tag Manager does not collect, store, or share any data about users or their browsing activity.

An IP address is a unique number assigned to your device (PC, tablet, smartphone) each time you access the internet. It is used to identify and facilitate communication between devices on a network and can also be recognized by your internet service provider.

When you use the Products and/or Services, Signal may record your IP address for:

  • Security purposes, including the detection and prevention of malicious actions.
  • Website performance analysis, to optimize functionality and enhance user experience.

As this information is essential for the proper operation of the Products and/or Services, users cannot deactivate the collection of IP addresses.
